JAXX Property Acquisitions is a small, ambitious property investment and development business growing fast. The Director's job is doing deals – everything else is a distraction. Your job is to make sure it stays that way, by building the plane while flying it. There's no established process to plug into, no manual, and often no one to ask. You'll work it out yourself, then build the system so it's easier next time. If that sounds daunting rather than exciting, this isn't the role for you.
This represents a unique opportunity for a resourceful 'jack of all trades' who enjoys rolling up their sleeves and enthusiastically taking anything on. You'll be well rewarded for your dedication and the career growth opportunities are excellent.
Responsibilities will include:
- Working closely with the Director and team to take on any task required, acting with urgency, accuracy and zero prompting.
- Manage enquiries, correspondence, and stakeholder communication, including proactively following up with consultants, agents, contractors, and partners on the Director’s behalf.
- Keeping on top of tasks, deadlines and follow-ups to make sure nothing slips through the cracks.
- Support the Development Manager with project coordination, including communicating with builders, subcontractors, consultants, suppliers and other external parties.
- Spotting what needs improving in how the business runs and just improving it.
- Ensuring a smooth functioning office, including ordering supplies, arranging cleaning and getting all the small jobs done.
- Removing anything that pulls the Director's focus away from doing deals – if it's not a deal, it's yours to handle.
- Ensuring the Director’s personal and professional life runs smoothly.
If you're a positive and super organised person – an 'admin genius' who enjoys a challenge and working in a role that will keep you learning, stimulated and busy throughout the day – this is the opportunity for you!
Skills and Experience:
First and foremost, you need to be an experienced Executive Assistant, with well-developed administration skills. The successful candidate will be a likeable person with excellent people skills and a successful history of building strong relationships with key stakeholders. You'll be motivated, nimble, autonomous and highly responsive. We'd like you to:
- Have proven experience in an Administration, Executive Assistant or Coordinator role, with excellent administration skills and a strong eye for detail.
- Strong Microsoft Office skills, and genuine curiosity about using AI and other digital tools to build efficiency from scratch.
- Be genuinely self-sufficient. When you hit a wall, your instinct is "how do I solve this myself?”
- Have worked in a small business or start up before – or you can prove you'd thrive in one. If your EA experience has been inside a large, highly structured organisation with systems already built for you, this role may not be a match for you.
- See this as more than a job. You want to grow with the business, even though what that growth looks like isn't mapped out yet.
- Have that extra something that's hard to name but obvious in person – energy, resourcefulness, grit.
- Be a highly organised multi-tasker with initiative and proven ability to get things done on time.
- Be enthusiastic, a team player and willing to turn your hand to anything – pitching in where needed.
- Be proactive in supporting the busy team with ideas for improvement – you'll be the person who anticipates needs and gets ahead of issues.
Culture
JAXX is small, driven, and moves fast. There's no corporate scaffolding – just a team who back themselves to get the right outcome and figure out the rest as they go. This is a small team who are always out and about, so this is not a traditional office environment!
Benefits
This is a role to make your own, from the ground up. You'll work autonomously, be trusted immediately, and shape how the role grows as the business grows.
