Why Swell & Why Now?
Swell exists to help Kiwi businesses access government funding to accelerate their innovation and growth. We simplify the funding process so our clients can focus on doing what they do best: building world-class innovations.
Our small but mighty team combines international experience with local know-how to deliver outstanding results. We help clients extend cash flow, invest in new technology, expand their reach, and hire the right people. And we’re just getting started.
We’re growing fast and need a superstar Office Manager to make sure everything behind the scenes runs smoothly. If you thrive in a fast-moving, purpose-driven business with big ambitions, you’ll love it here.
What’s the role?
As the Office Manager, you’ll be the operational heartbeat of Swell – making sure the team is supported, the numbers stack up, and nothing slips through the cracks.
You’ll take ownership of day-to-day office coordination, finance and payroll tasks, HR admin, supplier management, compliance, and performance reporting. You’ll also help identify ways to improve systems and processes that make Swell an even better place to work.
It’s a broad and varied role where no two days look the same – and that’s exactly how you like it.
Please note that this is a part-time role of approximately 20 hours per week.
What skills and experience do I need?
These are our must-haves:
- Expert-level administrative skills
- Accounts Payable and Receivable, and payroll processing
- Office management experience
- HR administration (contracts, onboarding, policies)
These are other skills we’d love you to have:
- Experience improving systems and processes
- IT administration or coordination experience
- Financial analysis and performance reporting
- Familiarity with HubSpot or similar platforms
- An interest in automation or AI tools
You’ll also be able to demonstrate:
- Outstanding communication skills—clear, friendly, and professional
- High attention to detail and accuracy in everything you do
- A sharp, switched-on mind and the confidence to take charge
- A proactive approach to spotting issues and solving them
- A natural ability to build trust across a team
Success at Swell looks like taking ownership, moving at pace, and helping us continuously improve.
What benefits can I expect?
This is a part-time role of approximately 20 hours per week, ideally spread across five days, giving you real flexibility and the chance to make a tangible impact. By joining Swell, you’ll help build the company from the ground up, becoming intimately entwined with its success.
What’s the culture like?
We’re a team of curious, driven professionals who thrive on making a difference for our clients. We work quickly, think strategically, and value integrity, empathy, and constant learning. Everyone has a voice at Swell - and every contribution matters.
